A Staff Member or a Platform for Review Replies? A Fair Comparison of Time and Cost

SMTAK TeamPublished Updated Reading time: 4 min read

Choosing between a staff member and a platform for review replies is a decision about tasks, time and risk before it is a decision about money. Count your real hours with your own numbers, see which tasks both can do and which always need a person, then choose: a staff member, a platform, or both. We quote no salaries and no savings percentages here, because your own number is more accurate than any average.

With many reviews, many owners ask the receptionist or cashier to reply in spare time, or appoint someone to focus on them. A fair comparison is not only a salary against a subscription price. For the wider comparison of platforms read comparing Google review reply software.

Step one: what are the tasks?

Replying to a review is more than writing a sentence. The real tasks:

  1. Knowing a new review arrived: who opens the profile, and when?
  2. Reading and understanding it, including conditional praise and veiled complaints.
  3. Checking what happened at the branch, for a negative review. Google advises checking your records of the visit before replying.
  4. Writing the reply in the brand's tone and in the review's language.
  5. Approving and publishing.
  6. Following up with the customer outside Google when needed.
  7. Collecting recurring complaints and turning them into operational decisions.

Tasks 1, 2, 4 and 5 are the closest to what tools shorten. Tasks 3, 6 and 7 are decisions that need someone who knows the branch.

Step two: count your own time

  • A = the number of weekly reviews across all your branches.
  • B = the minutes a good reply to a positive review takes you.
  • C = the minutes a negative review takes, including checking.
  • Weekly hours = (positive count × B + negative count × C) ÷ 60.

Multiply the result by the hourly cost of whoever does the work in your business. This is your number, and we cannot estimate it for you. Try it for two weeks on real work, and do not estimate it from memory.

What each option brings

A staff member who replies

  • Knows the branch and understands context that does not show in the review.
  • Can call the customer and solve the problem.
  • But: work stops on leave and illness, quality varies with the pressure of the day, the tone changes when the person changes, and their departure can mean losing profile access if the account is in their name.

A platform that drafts replies

  • Pulls reviews automatically at short intervals, so a review does not wait for the end of the week until someone remembers it.
  • Each review arrives with a draft reply in the brand tone, so the work becomes review and approval instead of writing from scratch.
  • One tone across all replies.
  • But: AI can misread a serious complaint or promise what you cannot deliver. So safeguards and review are essential; they are detailed in safeguards for AI review replies.

Both together

The most realistic for chains: the platform writes the draft and the branch manager approves it, and a central owner handles the sensitive cases.

What no tool changes

A negative review needs a person who understands what happened at the branch and decides what is said and done. Google advises, for negative reviews, admitting mistakes, explaining what you can and cannot do, and moving the conversation to a private channel. A good tool shortens writing the draft but does not replace that decision. In every case you will need a person for:

  • A critical or sensitive review, such as a serious accusation or a health complaint.
  • Any compensation or promise in management's name.
  • A malicious review that deserves a report or legal action.
  • Reviewing automatically published replies from time to time.

Risks to count for each option

  • A single employee: what happens on their leave? Who holds the profile permission?
  • A platform: what happens if the AI is down? In SMTAK no fallback reply is written from a template, and the draft waits for you.
  • The automatic option: does anything publish without your approval? In SMTAK nothing publishes automatically without your explicit consent, it covers four and five stars by default, and a critical review always waits for a person.

Cost, with our numbers only

SMTAK's published prices are 69, 119 and 169 riyals a month for the first branch, with the extra-branch price in the pricing calculator, discounts for semiannual and yearly billing, and a 14-day free trial without a card. Current prices are in the pricing section. The cost of a staff member in your business, calculate yourself from step two, and compare two numbers whose source you know.

A decision checklist

  1. Do you have more than one branch? A platform helps more as branches multiply.
  2. Do replies to negative reviews lag by days? Automating the pull and the alert solves part of it.
  3. Does the tone differ between branches? A written shared tone fixes it, with a person or a platform.
  4. Is there someone to approve replies daily? If not, do not switch on automatic publishing.
  5. Do you have many sensitive reviews, like a clinic? Keep a person in the loop.

Try the platform for 14 days on your real reviews, and measure the actual time before deciding.

Frequently asked questions

Is a staff member or a platform better for replying to Google Maps reviews?

It depends on your number of branches, the review volume and who approves replies. A platform shortens the pull and the draft; a staff member knows the branch and follows up the customer. For chains, combining them is the most realistic.

How much do I save with a platform?

We quote no savings percentage, because it depends on your actual time and your hourly cost. Work it out with the formula in step two, and try the platform for 14 days before subscribing.

Does a platform make a staff member unnecessary?

No. A negative or critical review, and any compensation or promise, needs a person who knows what happened at the branch. The platform prepares the draft and does not replace the decision.

How much does SMTAK cost?

69, 119 and 169 riyals a month for the first branch depending on the plan, with a 14-day free trial and no card. Current prices are in the pricing section.

Can a reply be published without my approval?

No. Nothing is published automatically before your explicit consent; automatic publishing covers four- and five-star reviews by default, and a critical review waits for a person.
