Button names can differ a little between app versions. If you cannot find the button, use the computer steps above.
What happens after you send it
- Google reviews your reply to check it follows its content policies, and asks you to edit it if it does not. A review usually takes up to 10 minutes and sometimes up to 30 days.
- The reply is public under the customer's review. It appears as coming from your business, not under your personal name.
- The customer is notified when you reply and can still change their review after reading it.
- To edit or delete a reply, open Read reviews and select Edit or Delete under it.
If the Reply button is missing, check that your business is verified and that you are signed in with the account that manages it. Google notes that reviews are available only in certain countries and business categories.
Rules for every professional reply
Most of these rules come from Google's tips for better review replies, with practical additions.
- Be polite and professional. Replies follow the same content policies as reviews.
- Keep it short and direct. Two to four sentences is enough; customers tire of long replies.
- Act like a friend, not a salesperson. Put no offers or ads in a reply, and share a useful fact if you have one.
- Never share a customer's details or attack them personally. Invite them to contact you privately.
- Be honest. Admit a mistake when there was one, and explain what you can and cannot do.
- Sign with your name or initials; it adds credibility.
- Do not wait. A fast reply shows you value the customer's opinion.
- Use the customer's name and a detail from their review, and never paste the same reply under many reviews.
- Reply in the language of the review and keep one tone for your brand. See the guide to the Saudi dialect in replies.
- Never write a promise you will not keep, and never offer compensation in public.
Replying to positive reviews (4 and 5 stars)
A common mistake is a one-word reply such as "Thanks". A good reply thanks the customer, names what they liked and invites them back without pressure. Replace the brackets with real details from the review.
Restaurant, Saudi dialect: Welcome, [name]! Your words about [dish] made our day. We look forward to seeing you again at our [branch] branch.
Clinic, formal: Thank you, [name], for your kind words. We are glad our team lived up to your expectations, and we wish you good health.
Salon, Saudi dialect: Thank you, [name], we are so happy you liked [service]. You are always welcome back.
Car service, Saudi dialect: Thanks, [name]! The team is glad you liked [service]. We are at your service any time.
Hotel, formal: Thank you for choosing [hotel name]. We are pleased your stay was comfortable and look forward to welcoming you again.
Store, Saudi dialect: Much appreciated, [name], and thank you for taking the time to write. We are glad you liked [product], and we are here if you need anything.
Four-star review, Saudi dialect: Thank you for the rating, [name]. We would like to know what we can improve for your next visit, and your note has reached the team.
In clinics and healthcare, never confirm publicly that the reviewer is a patient or mention details of their visit.
Replying to negative reviews (1 to 3 stars)
The negative review matters most, because the person reading your reply judges how you solve problems. Google advises checking your records about the visit before replying. Then follow this order:
- Apologise for the experience without arguing or a long justification.
- Name the specific complaint in the customer's words.
- Move the resolution to a private channel: a customer service number or a dedicated email.
- Sign as a named manager or as the branch management.

Special cases
A rating with no text
A stars-only rating deserves a short reply, especially a low one, because the reader cannot tell why. Stars are not removed just because there is no text.
Thank you for your rating, [name]. We would love to hear what you enjoyed or what we can improve next time.
An abusive or fake review
Do not accuse the reviewer in public. Reply calmly to show the reader you looked for the visit, then report the review to Google if you believe it breaks its policies, which it allows you to do. What Google removes, what it does not and how to report are in removing a Google Maps review.
A review from a competitor
Google's Maps content policy says it does not allow merchants or users to post content about a competitor's place or business to undermine its reputation or its product's. Keep a screenshot of the review and its date and whatever shows it comes from a competitor or does not match a real experience, and report it as described in the removal guide. Do not accuse anyone in your public reply; you might wrong a real customer.
When automatic replies help
If you have several locations or reviews arrive daily, SMTAK's automatic replies to Google Maps reviews write the reply in your brand voice in Arabic or English. You choose whether replies publish automatically: by default one-to-three-star reviews wait as drafts for your approval, four and five-star reviews may publish automatically, and you can choose to reply to every rating. Sensitive and critical reviews always wait for a person. The platform has a 14-day free trial.
Frequently asked questions
Do I have to reply to every Google Maps review?
Google advises replying to reviews and says it shows customers you value their feedback. It also says there is no need to thank every user who leaves a review, and that a reply suits moments when you have new or useful information. In practice: never leave a negative review unanswered, and answer positive ones briefly.
Does replying to reviews improve my Google Maps ranking?
Google ranks local results on relevance, distance and prominence, and review count is part of the information behind prominence. It says positive reviews and helpful replies can help your business stand out. It lists responding to reviews among its tips for local ranking without saying how much it weighs, so we promise no ranking. What is certain is that a reply shapes the next customer's decision.
How do I reply to a bad Google Maps review?
Apologise without arguing, name the complaint in the customer's words, move the fix to a private channel and sign as a named manager. Check your records of the visit first and never share the customer's details. Ready examples for each complaint type are above.
How do I reply to a positive review?
Thank the customer, name what they liked and invite them back in two or three sentences. Do not paste the same reply under every review; vary the wording.
How long before my reply appears?
Google reviews replies before posting them. It usually takes up to 10 minutes and sometimes up to 30 days. If a reply is not approved you will be asked to edit it.
Does the customer know I replied?
Yes. The reviewer is notified when you reply and can still change their review after reading it, so write as if speaking to them directly.
Can I edit or delete my reply?
Yes. Open Read reviews in your Business Profile and select Edit or Delete under the reply.
Why can I not see the Reply button?
Google says you must verify your business before replying to reviews, so check you are signed in with the account that manages it. Reviews are also available only in certain countries and business categories.
