Google Reviews for Gyms and Fitness Clubs: Answering Crowding and Membership Complaints

SMTAK TeamPublished Updated Reading time: 4 min read

A gym answers a Google Maps review with a short acknowledgement of the note, a fix or a specific step if there is one, then a private channel for anything about the contract and membership. Do not discuss membership terms in public, and do not say "all gyms get crowded". Before paying for six months or a year, a member reads three things: is the gym clean, is the equipment available, and does management behave respectfully when there is a problem. Your replies answer the third.

For the general steps and samples for any business read replying to Google Maps reviews, and for a wider library ready-made reply templates.

What members usually write

  • Crowding at peak times, especially in the evening.
  • Broken or too few machines.
  • Cleanliness, changing rooms and showers.
  • Trainers: praise for a named trainer, or a complaint about absence.
  • Contracts: freezing, cancelling, refunds and automatic renewal.
  • The timing of dedicated sessions (women, men) and changes to them.
  • Parking, the hall's air-conditioning and the music.

Ready replies by complaint

These are samples we wrote for you to adapt, not replies to real members.

Crowding: do not say "all gyms get crowded"

Acknowledge the note, mention the quieter times if you know them from entry logs, and invite the member to talk to management if their schedule allows no other time.

We appreciate your note, coach, and the evening really is our busiest time. If it suits you, the morning session is quieter, and we would be glad if you contacted reception to plan your programme.

Broken machines

If the machine has been fixed, say so. If not yet, do not promise a date you are unsure of.

Thank you for letting us know. The broken treadmill has been reported to maintenance, and we will update you once it is fixed. We apologise for the inconvenience.

Cleanliness and changing rooms

We are sorry about the cleanliness note in the changing rooms. It has reached the branch manager and we have increased cleaning rounds at peak times.

Write the sentence about increased rounds only if you did it.

Contracts and cancellation: do not discuss terms in public

A cancellation or freezing complaint needs the contract and the member's account. Publish no details, and move the conversation to a private channel.

We are sorry for the trouble with your membership. Please contact the membership department directly so we can review your request with you.

Praise naming a trainer

If the member praises a trainer by name, actually pass the thanks to the trainer, then write that you did.

Thank you for your words; your thanks reached Coach Ahmad. We wish you success in your goals.

Limits to keep in the reply

  • Do not mention the member's full name or details of their account or attendance.
  • Do not promise fitness or health results in a reply.
  • Do not publish members' photos or faces on the profile without their consent: Google's policy prohibits posting a person's personal information without consent, including their face in a photo.
  • Do not publicly accuse a member of lying when they complain about something you do not know.

What to show on a gym profile

These items are named on Google's pages:

  • The precise category, and opening hours with special hours for Eid and Ramadan.
  • Photos: Google recommends at least three of each type (exterior, interior, the team at work), and at least one for each shared area, naming a gym as an example of a shared area. Make them real and well lit.
  • Attributes: parking, Wi-Fi and a wheelchair-accessible entrance.
  • A local phone number reception answers, not a distant call-centre line where possible.

Check the rest in the Google Business Profile audit.

Ask at the right time

After the first month of membership the member has a real view. Ask everyone with a link or QR code at reception, created in the Google review link and QR tool. No incentives such as free days for a review, since that is an incentive Google prohibits. And the trainer does not ask a member to write a review during training or press them, since the policy prohibits asking for a review while the customer is on the premises. Do not give trainers a monthly review count, and do not ask members to name a specific trainer.

A weekly routine for the gym

  1. Read the week's reviews for each branch and sort them: crowding, equipment, cleanliness, contracts, trainers.
  2. Reply to negative ones first, and pass any contract complaint to the membership department the same day.
  3. Review the list of broken machines with maintenance and update what has been fixed.
  4. Pass praise to the trainers actually mentioned.
  5. Compare recurring complaints with the peak schedule, and decide whether reception or cleaning shifts need adjusting.

Common mistakes

  • Discussing contract terms in public.
  • Promising a machine will be fixed without a firm date.
  • Identical enthusiastic replies to every review.
  • Asking only satisfied members for reviews.

How SMTAK helps gyms

The reviews of all your gym's branches reach one dashboard, with a draft reply in an energetic or formal tone you choose. The report shows recurring topics at each branch, such as cleanliness, speed and waiting, so you know where a branch needs work before the review repeats. Drafts for low ratings wait for your approval.

Frequently asked questions

Should I give a member free days in return for a review?

No. Google's policies prohibit anything in return for a review, even if you do not require it to be positive.

How do I reply to a cancellation complaint?

With a brief apology and an invitation to contact the membership department, without contract terms or account details in the public reply.

Should I reply to a review praising a trainer by name?

Yes: thank the member and pass the thanks to the trainer. But do not ask members to name a trainer in their reviews.

How do I reply to a crowding complaint?

Acknowledge the note, mention quieter times if you know them, and invite the member to contact reception, without saying all gyms are crowded.
